Entry vouchers will be issued for the
Charities may set their own entry fee
and/or fundraising criteria and sell these entries to athletes wanting to run
for their cause.
The charity will issue the entry voucher to
the runner once the proof of payment is provided.
This entry voucher must be used to enter
online. The entrants will only pay for any additional items they require, e.g.
temporary license, RaceTec timing chip (NB: Not required if you already have
one.) and/or t-shirt.
Charity entrants will get seeded based on
the race results supplied.
Runners will be able to change their entries – seeding updates, upgrades and substitutions (substitutions will only be done if all available entries have sold out). These changes can only be done onlinebetween 23 January and 4 March 2015 – NO CHANGES whatsoever will be permitted after this date.
Please note that only ONE entry change is allowed per entry (i.e. if you upgrade, you cannot also substitute the original entry; only one substitution per entry (more information under Substitutions below).
NO DOWNGRADES from the Ultra to the Half Marathon will be entertained whatsoever.
Runners who have entered the Half Marathon can upgrade to the Ultra Marathon IF they have qualified and belong to an athletics club. The cost is R180 and can be done by logging into the online system and following the instructions. No Upgrades will be accommodated when the Ultra Marathon entries are sold out.
It is the runner's responsibility to find a suitable substitute - both if you are not running or want to run.
One can only substitute a runner in the same race – i.e. a Half Marathon South African entrant can only be substituted by a Half Marathon South African that wants to participate .
Please note that substitutions will only be done in the Ultra Marathon if 11 000 entries have been reached. Substitutions will be allowed in the Half Marathon and both the Trail Runs.
The Substitution Process
This process needs to be followed from a medical safety point so as not to invalidate captured data, used by Disaster Management Services on race day. The cost for substitution is R80 and can only be done between 23 January and 4 March 2015. Other costs may apply (cost of an electronic timing chip, temporary licence fee in the Half Marathon, etc.).
The Entered Runner (to be substituted)
Runners who cannot run need to logon into the online system. When logged on, click on the ‘substitute’ button. The voucher key will be displayed as soon as you click on the ‘substitute’ button which you need to give to the person that is taking over your entry. Please note that you are ONLY parting with your entry; the timing chip and T-shirt (in the Half Marathon only) will be yours to collect. The entry fee of the original entrant will NOT BE REFUNDED under any circumstances.
The New Runner (taking over the entry)
It is incumbent on a runner to find someone that is unable to run in order to take over that person's entry. The entered runner is required to pass on to the new runner a voucher key to enable them in taking over their entry. This is done by logging onto the online system and clicking on ‘Substitution’. After you inserted a valid voucher number, the system will prompt you for your personal and race related information. Please follow the process - you will be prompted for your credit card details to pay the substitution fee of R80 (and any other fees due). Continue until you get to the confirmation screen (which will be followed by a confirmation e-mail).

All rules, terms and conditions that apply for the original race entry also apply for runners that substitute.
Runners that have substituted out of the Half Marathon cannot re-enter the Half Marathon in the same year (i.e. a runner that substituted OUT of the 2015 Half Marathon cannot re-enter the 2015 Half Marathon).
A runner that entered the Half Marathon via a substitution cannot substitute that entry further (i.e. if you have substituted into the 2015 Half Marathon you cannot substitute out of the 2015 Half Marathon).
Runners substituting in order to run the Ultra Marathon must have
qualified and belong to an athletics club in order to substitute (if
entries sell out).
Seeding updates for both the Half and Ultra Marathon as well as both the Trail Runs are free of charge. Please logon to the online system and update your seeding with the name, date and distance of the race and the time you ran with a website address where we can verify your new time.

Runners who have credit cards and Internet access are encouraged to enter online from 29 October 2014onwards.
Runners do not need to qualify before entering the race. Even though it is a prerequisite for participation, information can be supplied at a later stage. Entries can be done without having renewed the provincial licence number as it can be completed later. Athletic club membership is not optional but it can be done after entry. Runners with five or more medals can use the previous year’s race as their qualifier (i.e. in 2015 their 2014 OMTOM time can be used as a qualifier). Blue/permanent number holders do not need to qualify, provided they have run in either of the previous two years. No downgrades to the Half Marathon are allowed (only substitutions).
Runners participate at their own risk. The organisers and the sponsors cannot be held responsible for any damage, injuries, illness or losses incurred whatsoever - whether before, during or after the race.

Entries can be confirmed on this website by clicking on "Confirm Entry" and printing the acknowledgement page. Entries will also be acknowledged to valid e-mail addresses (as supplied). Please ensure that you bring a form of entry acknowledgement, your timing chip and ID document (or permanent residence permit) to Registration.
